When spreadsheets should become software

A spreadsheet is useful for flexible analysis and small processes. Consider an application when the team needs coordinated data entry, permissions, status and a reliable record of what happened.

Look at the work around the file

The strongest signal is often the manual work surrounding the spreadsheet. Staff may copy records between files, chase approvals by email or re-enter information gathered in the field.

Map that process before deciding to build anything. A formula correction or a simple integration may address the issue; a shared workflow may need an application.

Identify the record and its lifecycle

Choose the thing being tracked, such as a quote, inspection, job or approval. Describe who creates it, what information is needed, who reviews it and how it is completed.

This gives the application a clear purpose. It also helps define validation, access and history requirements that are difficult to manage consistently across separate files.

Start with the part causing repeated work

A first version can replace one data-entry or approval step while retaining useful spreadsheet outputs. Staff can evaluate whether it makes that task easier before the scope expands.

Agree the expected result and use real examples during testing. Include the exceptions staff handle today, rather than only the simplest records.

Choose a suitable delivery format
