How to take over a business-critical system

A software handover needs a clear view of the running system and the business processes it supports. Start with that understanding, then make changes in a scope you can verify.

Establish what is running

Compare the code available to the version in production. Review hosting, runtime dependencies, scheduled jobs, databases and external integrations. Record who can access each part and how releases are performed.

Check that backups exist and establish how restoration would work. If a test environment is needed, agree how it will be prepared and what data can be used.

Follow the important business workflows

Walk through the system with the staff who depend on it. Capture the normal path and the exceptions: unusual pricing, incomplete records, failed imports or approval steps that only experienced staff know.

This gives the new developer concrete behaviours to preserve. It also reveals where the team is compensating with spreadsheets or manual work outside the application.

Choose the first change carefully

A contained bug fix or feature can establish a working delivery process. Review its dependencies, identify the affected workflows and agree the checks needed before it is released.

Tests are most useful when they verify important business behaviour. Documentation should explain the deployment and integrations well enough that the next developer can follow them.

Release with a way to verify and recover

Before deploying, agree how the change will be checked and what to do if it fails. That may involve a backup, a rollback procedure or a release window suited to the business.

After the release, verify the affected workflow with staff. Record the result and any remaining issues so the next scope starts from what was actually established.
